How We Handle Your Personal Information

What we collect when you enquire, what we do with it, and how to get it back or have it deleted.

Who this policy covers

This policy applies to personal information collected by Ceramic Coatings Melbourne through this website, by telephone, by email, or in the course of quoting for and carrying out work on your vehicle. We handle personal information in accordance with the Australian Privacy Principles set out in the Privacy Act 1988 (Cth).

What we collect

We only collect information we need in order to quote for and perform work. In practice that is:

  • Your name, phone number and email address.
  • The address or suburb where the vehicle is located, and a service address if different.
  • Vehicle details: make, model, year, colour, registration where relevant, and its condition.
  • Photographs of your vehicle that you send us, or that we take during inspection and work.
  • Notes of our conversations, quotes issued, work performed and payments made.
  • Basic technical information when you browse this site, such as IP address, browser type, pages visited and referring page, collected in aggregate for site analytics.

We do not collect sensitive information as defined by the Privacy Act, and we ask that you do not send it to us.

Why we collect it

To respond to your enquiry, prepare a quote, schedule and carry out work, invoice you, keep records required for tax and warranty purposes, and contact you about a job in progress. If we ever want to send you marketing, we will ask first and every message will carry an unsubscribe option.

Who we disclose it to

We do not sell personal information, and we do not trade contact lists. We disclose information only where it is necessary:

  • To service providers who operate our systems on our behalf, such as website hosting, email, phone and invoicing or accounting software.
  • To a subcontractor or supplier where they are performing part of your job, and only the details they need.
  • To our accountant, insurer or professional advisers where required.
  • To a law enforcement agency, court or regulator where we are required or authorised by law.

Some of these providers may store data on servers outside Australia. Where that is the case, we take reasonable steps to ensure they handle personal information in a manner consistent with the Australian Privacy Principles.

Cookies and analytics

This website may use cookies and similar technologies to remember preferences and to measure how the site is used. You can block or delete cookies in your browser settings; some parts of the site may be less convenient if you do. Analytics data is used in aggregate to understand which pages are useful, not to identify individuals.

How long we keep it

Enquiries that do not become jobs are kept for up to two years and then deleted. Records relating to completed work, invoices and payments are kept for at least seven years, as required by Australian taxation and record-keeping law, and are then destroyed or de-identified.

Security

Information is held in access-controlled systems with password protection, and paper records, where they exist, are kept securely. No transmission over the internet is completely secure, so while we take reasonable steps to protect your information we cannot guarantee absolute security. If a data breach occurs that is likely to cause serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

Access, correction and complaints

You can ask us what personal information we hold about you, ask us to correct it if it is wrong, or ask us to delete it where we are not required to keep it. Call 03 6173 9825 and we will respond within a reasonable period, normally 30 days.

If you are not satisfied with how we have handled your information or your complaint, you can escalate it to the Office of the Australian Information Commissioner at oaic.gov.au. We will cooperate fully with any enquiry they make.
